Site Update November 23, 2024 :
Dave's Locker Closures (holidays, weather, ...)

Currently, the Locker's open/closed status can be changed on the Staff Calendar page by tapping a a day and then tapping on closed? or open?. A 'r-u-sure' confirmation dialog is presented (cancel/ok). In the case of closure, the day is no longer open for staff to add themselves to and prevents the day from being tallied in reports.

Shortcomings :

  1. No notification of the closure sent to scheduled staff : team leads would then call or email staff.

  2. Usually a team lead calls/texts me and I add an Update to the Home page indicating the closure.
    I also did this for holiday closures.  After the closure I would, eventually, remove the closure update.​

  3. The updates section on the home page is below the main content.  Takes some scrolling to see.

  4. The closure notice did not appear on other pages.

  5. No upcoming/current closure notice appears in confirmation emails sent from the public Request Equipment page.

After a closing has been confirmed, you are prompted for some info :

  1. The nature of the closing : a holiday (Xmas, Labor Day, ...), weather or something else.

  2. A message to display on public pages.

 

For non-holiday closures (weather/other), a closure email is sent to staff that were on the calendar for that day.
* If you have staff that don't sign up on the calendar you must still notify them (or have them start using the calendar).


Public Home, Request Equipment, Donate and Directions pages :
If there are closures in the next week, they are listed at the top of the page.

Closures are also included in confirmation emails.

If there are no upcoming closures this section does not appear.

Site Update November 9, 2024

On October 15 Deanna requested that I explore the option of sending out email nudges to responsible parties associated with overdue (90 days) knee scooters.

Equipment > Inventory

To send a nudge email, tap on the 📧 icon in the Equipment > Inventory : Overdue workflow.

The icon is present when the loan has overdue inventory, has email and a nudge email has not yet been sent.
 

Note : the best way to fire of a series of nudge emails is to move vertically downward tapping 📧 icons and waiting between taps until status indicates email has been sent.

When 📧 is tapped, the associated loan is displayed and a 'sending email' status message is displayed.

When sending completes (usually within 1-5 seconds), a few things happen:
 

  1. The loan is extended for 7 days.
    7 was chosen because the overdue workflow is used when we are low on scooters, there is urgency.
    If the scooter has not been returned within 10 days, the loan will be overdue again.
    Since a nudge has been sent, the 📧 icon will not be offered; call the responsible party.
     

  2. A date-stamped note is added to the loan indicating the nudge email  has been sent.
     

  3. The following email is sent to the responsible party :

There are 4 links in the email (the red text doesn't appear in the email).
The links allow the recipient to 'self-service' the overdue loan:
 

  • Still needed : loan is extended for 1 month and a note is added to the loan.

  • Will return : note added to loan, loan extended for 5 days from the date of the user's response.
    Return hours included in response message.

    If not returned, the loan percolates back into the overdue list after 5 days.

Back to Equipment > Inventory

A 'Nudges' dropdown has been added to help us gauge effectiveness.

Constraints: 

1. Email is an optional field : between May 2023 and October 2024 87% of loans with inventory have an email address.

Remedy: In October, a check was added on the loans page that requires an email when a loan has inventoried equipment.

If the responsible party does not have, or refuses to share, an email address, just enter a junk email address (i.e. junk@some.com).

2. Some email addresses are unreachable (typos, incomplete, mailbox full, don't accept emails from unauthorized sources, ...)

I see some (not many) bounce emails when request confirmations are sent out.  Bounces are received in gmail and are not accessible outside of Wix (the platform used to develop the site).  Not much can be done here other than Staff taking a look at email addresses for obvious errors.

3. Automatic versus manual send of nudge emails

Concern: we are space constrained; automatically sending email could result in more scooters than we need or have room for.

Initial implementation is to do this manually.  Fairly easy to automate if nudges prove effective.


 

Baseline Knee Scooter return numbers:

1000 Knee Scooter loans between 09/07/22 and 06/06/24 : email: 861

 

Disposition:

- returned : 93.40% - 934

- not returned : 2.50% - 25

- permanent loan : 4.10% - 41

 

Returns:

- within 100 days : 76.12%- 711

- within 200 days : 20.99% - 196

- within 300 days : 1.93% - 18

- within 400 days : 0.54% - 5

- within 500 days : 0.43% - 4
 

Once we have > 100 nudges, will circle back and see if there is movement on returns of scooters that are overdue between 100 and 200 days.​

Site Update: Apr 22, 2024

Overview : For awhile now, I have wanted to reduce the amount of information we collect and are currently storing.
I had discussions with Theresa, Deanna, Diane and others and all agreed that we can improve in this regard.


Motivation for reducing the amount of information we collect and store:

  • Minimize the amount of Personally Identifiable Information (PII) in our database.
    * Doubt the bad guys would be interested in hacking us, still have responsibility;
    comfortable in that we have no credit card, SSN, License numbers

  • "Everything you need, nothing you don't" : if we aren't using it, do not store it and consider what value there is in collecting it.

  • Make the Dave's Locker experience as simple as possible for our staff and our community.

  • A component of the site's annual fee is the total size of our database.  As we grow, so does our database.

  • 10,718 of 12,676 loans in our system, or ~80%, had the same For and To names OR the same For and To address.

  1. It is important that any existing Dave's Locker windows/tabs are reloaded to pick up updates.

  2. Tapping 🆕 will open this page for others who work with the system to review.

  3. Loan lookups :
    - by name : no change : can enter any part of For *or* To name.
    by last 4 digits of Phone Number: will continue to support both To and For phone numbers for a month or so.
    * Note: I don't know how often lookup by For phone is used in practice onsite;
       pass on thoughts if you feel this is needed or the sunset on this should be extended.

  4. Dates are no longer repeated in the list : declutters a bit and hilites daily activity better.

  5. New Loan has been moved from directly under the Loans tab to the far right

New loans initiated on the Loans and the public Request Equipment pages:

  • To Phone, To Address, To Address Unit# and For Address Unit# are no longer requested for a new loan.

  • For Address is still required : the city is extracted and saved instead of saving the full address
    * city gives us data for the City Report

  • Pro tip : a full address is not required, just a correctly spelled city will pass address validation.

Reports :

  • The Zip code and County reports have been removed : they weren't that useful

  • The City Report is now more accurate : reports used to infer city from zip code (some zips straddle cities)

  • The address rectification process (used to get a normalized address that a zip could be extracted from) has been removed. 

Equipment > Knee Scooters > Overdue workflow :

  • The For Phone is no longer presented; the Responsible Party/To Phone is still there.
